Our Commitment to Your Privacy

At Valid Email Checker, we understand the importance of protecting your personal data. As a platform that handles email addresses—many of which may belong to individuals around the world—we are committed to responsible data handling practices. This document explains how we handle your data and what that means for you.


Our Role in Data Processing

We act as a data processor when handling the email lists you submit for verification. This means that we process the email data you provide to us solely to carry out the service you've requested—email validation. We do not use this data for any other purpose such as advertising, profiling, or analysis beyond what's necessary to complete the task.

You, as the user, are the data controller, and your uploaded content remains fully under your ownership and direction. We do not access the contents of your email list for any other use, nor do we transfer that data to third parties for unrelated processing.


Our basis for processing your email data stems from the explicit action you take when you upload a list for validation. This represents your consent and signals your request for us to perform a specific service. We also process some information as part of our contractual obligation to you—such as delivering results, managing your account, and addressing support requests.


What Data We Collect

Information You Provide

When you create an account and use our services, you provide us with certain information directly. This includes your email address for account identification and login purposes, your password for authentication (which we store as a secure hash and cannot view), and payment information for processing purchases (handled securely by our payment processor, Stripe—we never store your full card details).

When you use our verification service, you provide email lists for verification and receive verification results in return. This data is stored temporarily to give you access to your results.

Information We Collect Automatically

To maintain security and improve our service, we automatically collect certain information when you use our platform. This includes your IP address for security and fraud prevention purposes, browser and device information for troubleshooting, and usage statistics that help us improve our service. This automatically collected data is retained for 90 days, except for anonymized usage statistics which may be retained longer in aggregate form.


Data Retention and Deletion

We believe in data minimization—storing only what's necessary for the service you've requested and only for as long as needed.

The 15-Day Rule

Your uploaded email lists and verification results are automatically deleted from our system after 15 days. This retention period gives you adequate time to download your results while minimizing the data we hold. We chose this timeframe to balance user convenience with responsible data practices.

Manual Deletion

You don't have to wait 15 days. You can delete your uploaded files and verification results at any time from your dashboard. Simply navigate to Uploads & Results and delete any files you no longer need. Once deleted, this data cannot be recovered.

Account Data

Information related to your account (email address, preferences, transaction history) is retained for as long as you maintain an active account. If you choose to delete your account, all associated data is permanently removed from our systems.


How We Protect Your Data

Security Measures

We employ multiple layers of security to protect your data. All data transferred between your browser and our servers is encrypted using secure HTTPS connections. Data stored on our servers is also encrypted to protect against unauthorized access.

Access to our systems is strictly controlled, with only authorized personnel able to access the infrastructure. We maintain session security features including automatic timeout and optional single-session enforcement. Two-factor authentication is available for your account, and API keys are hashed before storage to prevent exposure.

What We Don't Do

We want to be clear about practices we never engage in. We never sell your data to anyone, under any circumstances. We never use your email lists for our own marketing purposes. We never share your uploaded lists with third parties for their own use. We never profile you based on the content of your uploaded data. We never store your data longer than necessary for the service.


Third-Party Services

To deliver a smooth and reliable experience, we rely on carefully selected service providers. These include Supabase for database and authentication, Stripe & Coinbase for payment processing, and Resend for transactional emails such as password resets and notifications.

All third-party providers are selected based on their security practices and commitment to data protection. We do not sell, trade, or rent your uploaded data to anyone—ever. Third parties only receive the minimum data necessary to provide their specific service.


Your Rights and Controls

We believe you should have control over your data. You can access your data at any time through your dashboard, where you can view your profile information, uploaded files, and verification results. You can correct your information by updating your profile in Account Settings. You can delete your data by removing files from your dashboard or deleting your entire account. You can export your data by downloading verification results in standard formats.

Data Protection Principles

We are committed to following established data protection principles in our operations. We practice purpose limitation by using your data only for the email verification service you requested. We practice data minimization by collecting only what's necessary to provide our service. We practice storage limitation by automatically deleting verification data after 15 days. We practice integrity and confidentiality by implementing appropriate security measures to protect your data.

While we follow these principles, we encourage users with specific compliance requirements to review our practices and determine if they meet their particular needs.
