Managing Team Members

Once you've invited team members, you can manage their access, monitor their usage, and make changes as needed. This guide covers everything you can do as an account owner.

Viewing Your Team

Go to Account Settings > Team to see all your team members.

The Team Members table shows:

ColumnDescription
EmailTeam member's email address
StatusActive, Pending, or Suspended
Invited DateWhen you sent the invitation
Last LoginWhen they last accessed the account (with exact timestamp)
Credits UsedCredits they've used this month
ActionsSuspend/reactivate and remove buttons

Monitoring Credit Usage

The Credits Used column shows how many credits each team member has used in the current month. This helps you:

  • Track who's using the most credits
  • Identify inactive members
  • Plan your credit purchases based on team usage

Credit usage resets at the start of each month.

Suspending a Team Member

Suspending temporarily blocks a team member's access without removing them completely.

When to Suspend

  • Team member is on leave or vacation
  • You need to temporarily pause someone's access
  • Investigating unusual usage
  • Project ended but might resume later

How to Suspend

  1. Go to Account Settings > Team
  2. Find the team member in the list
  3. Click the suspend icon in the Actions column

What Happens When Suspended

  • Their status changes to Suspended (red badge)
  • They're immediately logged out of all sessions
  • They can't log in until reactivated
  • They receive an email notification about the suspension
  • Their usage history is preserved

Reactivating a Team Member

To restore access for a suspended team member:

  1. Go to Account Settings > Team
  2. Find the suspended member
  3. Click the reactivate icon in the Actions column
  4. Their access is restored immediately

They can log in again using their existing credentials. No new invitation needed.

Removing a Team Member

Removing permanently deletes a team member from your account.

When to Remove

  • Team member has left the company
  • They no longer need access
  • You invited the wrong email address
  • Cleaning up old pending invitations

How to Remove

  1. Go to Account Settings > Team
  2. Find the team member
  3. Click the delete icon in the Actions column
  4. Confirm the removal

What Happens When Removed

  • They're immediately logged out
  • They can no longer access your account
  • They receive an email notification
  • Their usage history is removed from your view
  • If they want access again, you'll need to send a new invitation

Managing Pending Invitations

If someone hasn't accepted their invitation yet (status: Pending), you can:

  • Wait - The invitation doesn't expire
  • Remove - Delete the pending invitation and optionally resend

To resend an invitation, remove the pending entry and invite them again. This generates a new password.

Team Member Permissions

Here's what team members can and can't do:

Team Members Can:

  • Verify single emails
  • Upload bulk lists
  • Download verification results
  • View shared credit balance
  • Update their profile
  • Change their password
  • Enable 2FA on their account

Team Members Cannot:

  • Access Billing & Payments
  • View or download invoices
  • Purchase credits
  • Use API for verifications
  • Enable auto-refill
  • Invite other team members
  • Suspend or remove members
  • See other team members' details
  • Cancel the subscription

Best Practices

Regular Reviews

Periodically review your team list:

  • Remove members who've left
  • Suspend inactive accounts
  • Check for unusual usage patterns

Clear Communication

When suspending or removing someone, communicate with them directly when appropriate. The system sends automatic notifications, but a personal message helps avoid confusion.

Monitor High Usage

If a team member is using significantly more credits than expected, check in with them. It could be a large project, or it could indicate an issue.

Common Questions

Can a suspended member see their old verification results?

No. While suspended, they can't access the account at all. When reactivated, their historical results are still available.

What happens to a member's verifications if I remove them?

The verification results remain in the account. Removing a team member doesn't delete any verification data.

Can I transfer ownership to a team member?

No. The account owner can't be changed. If you need to transfer ownership, the new owner would need to create their own account.

Do removed members keep any access?

No. Removal is immediate and complete. They'd need a new invitation to rejoin.

Can I see exactly what a team member verified?

You can see their total credit usage, but not the specific emails or lists they verified. Their verifications appear in the main Uploads & Results just like yours.
